How is workflow automation different from chat automation?
Chat automation is one channel: a conversational product that books appointments and captures leads over WhatsApp, Messenger, or Instagram. Workflow automation is the broader layer underneath: the pipeline that takes what happened in that conversation, or in a form submission, or a new record in a database, and routes it through the other tools a business runs on, updating a CRM, triggering a follow-up, or notifying the right person, without someone copying data between systems by hand.
What tools can a workflow connect to?
Whatever the business already uses: a CRM, a calendar, an email platform, a spreadsheet, a payment processor, a support inbox. We build on n8n for most integrations, which reaches a wide range of tools through existing connectors and custom API calls where a connector does not exist.
What happens when the workflow cannot handle something?
It hands off. A workflow is built to recognise the cases it should not decide alone and route them to a person, with the context already gathered, rather than forcing every case through automation regardless of fit.
Do I need AI for every step, or just parts of the workflow?
Just the parts that need it. A lot of a workflow is plain logic: if this happens, do that. AI earns its place at the steps that need judgment, such as reading a message to figure out intent or drafting a reply, and plain automation handles the rest. Using AI everywhere is usually slower and less predictable than using it where it actually helps.
Can you automate scheduling and follow-ups specifically?
Yes. That is one of the most common workflows we build: a lead comes in, gets routed to the right person or calendar, an appointment is offered and confirmed, and a follow-up sequence runs on a schedule if the lead goes quiet, all connected to the calendar and CRM you already use.
How long does a workflow like this take to build?
It depends on how many tools it touches and how much judgment the AI steps need, but a focused first workflow, covering one process end to end, is usually a matter of weeks rather than months. We scope it to one real process first and expand from there once it is proven.
